Wedding Day Transportation: The Timeline, Who Rides When, and the Extras

A wedding day is a chain of handoffs: hair and makeup, photos, ceremony, more photos, reception. Transportation is the string that ties them together, and when it slips, everything else slips with it. The fix is a plain timeline, written down before the day and shared with one person.

Start with the timeline, then pick the vehicles

Before you think about vehicles, write the day as a list of moves. Who needs to be where, and when? Where does each person start and end? Once you can see the moves, the vehicle question mostly answers itself.

  • Morning: getting ready, hair and makeup, and any early photos.
  • Midday: the bride, groom and wedding party heading to the ceremony.
  • Afternoon: ceremony to reception, with photo stops in between.
  • Evening: guests from hotels to the venue, and back again.
  • End of night: the exit, and the honeymoon departure.

Who rides when

Impeccable Rideshare covers every part of that chain: the bride and groom, the wedding party, family members and guests, with hotel pickups, ceremony to reception, photo locations, the rehearsal dinner, a bridal shower and the honeymoon departure. You don't have to book all of it, but it's worth deciding which pieces are worth handing off.

A common split: one vehicle for the couple, a second for the wedding party, and guest transportation for anyone who shouldn't be driving after the reception. Her own vehicle seats up to 8 people. For larger wedding parties and family groups, additional vehicles can be arranged, so say how many people you expect early.

Photo stops need real time

Photographers love a good location, and couples love being talked into three more. Each stop costs time, so build them into the schedule instead of treating them as extras. Tell your driver where the stops are and how long you plan to stay at each one, and keep a few spare minutes between them.

The worst version of the day is a driver waiting at a venue that was changed last minute. Share any address update the moment you have it, and send it to one contact person instead of five.

Pick one contact person

Appoint a single point person, such as a sibling, a planner or the maid of honor, and give them the driver's number. That person handles questions on the day so the couple never has to. It sounds small, and it removes more stress than almost anything else on this list.

The extras worth asking about

Wedding transportation can include some finishing touches, offered at an extra fee: a red carpet, roses or florals, champagne where permitted, water and beverages, signs, ribbons and other themed decorations. Pricing for these isn't a flat rate, so ask when you request your quote.

Pick one or two that matter to you. A red carpet at the ceremony entrance photographs beautifully, and ribbons and a sign on the vehicle make the exit feel like a send-off. You don't need all of it.

Payment and the calendar

A 50% deposit secures your booking. The balance is due no later than one week before the wedding, and all payments, including the deposit, are non-refundable. Put the balance date on your planning calendar next to your other vendors. She accepts cards, bank transfer and Zelle, and cash is not accepted.

Impeccable Rideshare is woman-owned and founded in 2020 by Shelly Castle, who lists LUXlife Magazine's 2024 Wedding Entrepreneur of the Year (Houston) among her awards. She is hands-on and open 24 hours, which helps when your plans shift at an odd hour.

A few things couples forget

Remember the people who aren't in the wedding party but still need to get places: grandparents, out-of-town relatives and the friends who would rather not drive after the reception. A simple plan for them keeps the day relaxed.

Tell your driver about any dress or train that needs extra room getting in and out, and about any elderly relatives who need a steady arm. Mention the exit time you want, too. A send-off is easier when everyone agrees on when it happens. Share your venue's loading area and any gate or parking instructions as well, so the driver pulls up in the right spot the first time instead of circling while guests wait.
